UrgentPaws Relief Scheduling Portal

Your information privacy is important to us. We provide this Privacy Policy to explain how we collect, use, protect, and disclose information and data when you use the UrgentPaws relief scheduling portal at scheduling.urgentpaws.com (the “Portal”). This Privacy Policy applies to relief veterinarians and authorized administrators who use the Portal. The Portal is provided by UrgentPaws of California, Inc. (“UrgentPaws,” “Company,” “we,” “our,” or “us”).
This Privacy Policy is separate from the privacy policy that governs the UrgentPaws public website at www.urgentpaws.com, and is in addition to any privacy or confidentiality terms in the agreements you sign in connection with your engagement with UrgentPaws.
BY USING THE PORTAL, YOU ARE CONSENTING TO THIS PRIVACY POLICY. PLEASE READ IT CAREFULLY.
We collect the following categories and types of “Personal Information” in connection with the Portal:
Contact Information: your first and last name, email address, and phone number.
Account and Authentication Information: your password (stored in hashed form), one-time login link and password reset activity, and other security information used for authentication and access.
Professional Engagement Information: your doctor type (e.g., full-time, direct relief, Roo relief), the UrgentPaws locations you have access to, and your account settings.
Scheduling Activity: the shifts you view, request, book, withdraw, and work; booking confirmations, declines, and cancellations; and related communications we send you.
Agreement Records: the date, time, and document versions of your confirmations of the Portal Terms of Use, UrgentPaws policies, and this Privacy Policy made when booking shifts.
Device, Log, and Usage Information: IP address, browser type, access times, pages viewed, and how you navigate within the Portal, collected automatically through server logs, cookies, and Google Analytics for security, operational, and analytical purposes (see the Cookies section below).
We use your Personal Information for the following purposes:
Scheduling Operations: to operate the Portal; to post, manage, confirm, and cancel shifts; to maintain the schedule across our locations; and to keep records of your bookings and agreements.
Communications: to send you operational emails such as account invitations, login links, password resets, booking confirmations, declines, cancellations, and shift reminders, and to respond to your questions. Because these communications are necessary to operate the scheduling service, you cannot opt out of them while you maintain an active account.
Engagement Administration: to administer your engagement with UrgentPaws, including credentialing coordination and communications with our scheduling team and practice managers.
Maintenance and Improvement: to administer, secure, troubleshoot, and improve the Portal.
Analytical Purposes: we use device, log, and usage information, collected in part through Google Analytics, to analyze how the Portal is used and to identify trends and improvements.
Security and Fraud Prevention: to protect the Portal, our Company, our staff, our clients, and others, and to prevent fraud, misuse, and unauthorized access.
Legal Compliance: to comply with legal obligations and to establish, exercise, or defend legal claims.
We do not use Portal Personal Information for marketing or promotional purposes, and we do not use it to build advertising profiles.
We collect Personal Information from the following sources: (a) directly from you, when you accept an invitation, set up and manage your account, book shifts, and communicate with us; (b) from UrgentPaws personnel, when our scheduling team creates or updates your account as part of your engagement (for example, entering your name, email, phone number, doctor type, and location access); and (c) automatically, in the form of device and log information generated when you use the Portal.
We do not sell your Personal Information, and we do not share it with third parties for marketing purposes. We share Portal Personal Information only as follows:
Service Providers: We use trusted service providers to operate the Portal, such as cloud hosting and data storage providers and email delivery services. We provide our service providers only with the information necessary for them to perform these services on our behalf, and each service provider must agree to use reasonable security procedures and practices appropriate to the nature of the information involved. Service providers are prohibited from using Personal Information other than as specified by us.
Our Affiliates: We may share Personal Information with businesses controlling, controlled by, or under common control with our Company, for the purposes described in this Privacy Policy.
Corporate Transactions: If our Company is merged, acquired, or sold, or in the event of a transfer of some or all of our assets, we may disclose or transfer Personal Information in connection with such transaction.
Compliance with Laws and Law Enforcement: We may disclose Personal Information to government or law enforcement officials or private parties if, in our discretion, we believe it is necessary or appropriate to respond to legal requests (including court orders and subpoenas), to protect the safety, property, or rights of our Company or of any third party, to prevent or stop any illegal, unethical, or legally actionable activity, or to comply with the law.
We use cookies (a small text file placed on your computer to identify your computer and web browser) and similar technologies on the Portal. Essential cookies are used to operate the service — for example, to keep you signed in and to protect your session — and certain features of the Portal will not work if you delete or disable them. We also use Google Analytics on the Portal to analyze how users use the Portal, including which pages and features are used most, so that we can improve the service. Google Analytics uses its own cookies and identifiers in connection with this service. For more information about how to opt out of having your information used by Google Analytics, visit https://tools.google.com/dlpage/gaoptout/. We do not use advertising cookies on the Portal.
You can review and update your name, email address, and phone number at any time in the Account section of the Portal, or by emailing us at scheduling@urgentpaws.com. Because the Portal is an operational tool for active scheduling, operational emails (such as booking confirmations, cancellations, and reminders) cannot be turned off while your account is active. We will always treat your Personal Information with the utmost respect and never sell it or share it with other organizations for marketing purposes. We do not sell or share mobile phone numbers with third parties or affiliates for marketing or promotional purposes.
If you are a California resident, the California Consumer Privacy Act, as amended by the California Privacy Rights Act (“CCPA”), provides you with rights regarding your Personal Information, including in your capacity as an independent contractor. Subject to applicable exceptions, you have the right to: (a) know the categories and specific pieces of Personal Information we have collected about you, the categories of sources, our purposes for collection, and the categories of third parties with whom we share it; (b) request deletion of your Personal Information; (c) request correction of inaccurate Personal Information; and (d) not be discriminated or retaliated against for exercising your rights. We do not sell or share (as those terms are defined in the CCPA) your Personal Information. To exercise your rights, email us at scheduling@urgentpaws.com. We will verify your request using your account information, and we may retain information as needed to comply with legal obligations, maintain required scheduling and agreement records, and resolve disputes.
We retain Portal Personal Information for as long as your account is active and as needed thereafter to maintain accurate scheduling and agreement records, comply with legal, regulatory, and audit obligations, resolve disputes, and enforce our agreements. When Personal Information is no longer needed for these purposes, we will delete or de-identify it.
Please remember that when you share information in communications with third parties, that information may be passed along or made public by others. Schedule, doctor, client, and operational information you obtain through the Portal may also be Confidential Information under your Nondisclosure Agreement, and should only be shared as that agreement permits.
We maintain physical, electronic, and procedural safeguards to protect the confidentiality and security of information transmitted to us. However, no data transmission over the Internet or other network can be guaranteed to be 100% secure. As a result, while we strive to protect information transmitted on or through the Portal, we cannot and do not guarantee the security of any information you transmit on or through the Portal, and you do so at your own risk. Please safeguard your account credentials and notify us immediately at scheduling@urgentpaws.com of any suspected unauthorized access.
The Portal may contain links to other websites, such as our practice management system and payroll provider. A link to a third party’s website does not mean that we endorse it or that we are affiliated with it. We do not exercise control over third-party websites, and you should always read the privacy policy of a third-party website before providing any information to it.
The Portal is intended solely for licensed veterinary professionals and authorized administrators who are at least 18 years of age. We do not knowingly collect Personal Information from anyone under 18 through the Portal. If we become aware that we have received Personal Information from a person under 18, we will delete such information from our records.
Your Personal Information and communications may be transferred to and maintained on servers or databases located outside your state, province, or country. We process and store all information in the United States. By using the Portal, you agree that the collection, use, transfer, and disclosure of your Personal Information and communications will be governed by the applicable laws in the United States.
We may change this Privacy Policy from time to time. If we make material changes, we will notify you through the Portal or by email to the address on your account, and the revised Privacy Policy will take effect on the date stated in the notice. By continuing to use the Portal after revised terms take effect, you are consenting to the revised Privacy Policy.
